Workshops are part and parcel of a Project Manager‘s life. And they aren’t always an art. There are ways to run and facilitate workshops like a pro. Let us go through some of tips that are time-tested. These ways will make you productive, creative and effective. And also make those workshops a lot of fun as well!!

A good project brief helps obviate any issues with respect to changes in terms, changes, direction, and payments. In absence of a brief which is clear and tight, these areas can constantly create issues between the project team and its customers.

It is never a good idea to walk into a workshop blind and without adequate preparation. Always know what the workshop will have to achieve at the end of the time and make that happen. Once I had to run a workshop where we in the IT group had to get to a final result which we knew was the best for everything. That was the end game but we still had to factor in the inputs from the business groups. The workshop was planned for business to provide their requirements, which were then evaluated with detailed criteria. At the end of the workshop, the business was happy that they provided the input and IT achieved their objective.
These are some of the things that you need to detail out prior to the workshop for having a successful exercise for all.
- What are our goals of the workshop?
- Who do we want our workshop to reach? How will we get them there?
- How many people are attending?
- What skills and sessions are most important to our participants?
- How long of a workshop do we want to/can we organize?
- What is our budget for the workshop?
Make notes and signs that you and your workshop participants may need and be ready to start off on a successful note.
3 Dоn’t trу tо сrаm tоо muсh іn. The first rule of doing anything successfully is to – well, get it DONE in the first place! There is no point in doing only 50% of the work great, but missing out the entire 50% because you didn’t have enough time. So, time everything. Even the breaks and lunches. Order the lunches in or go nearby. And for every session have a designated time keeper. - Discuss the agenda and the schedule with every presenter to see how much time they would actually need
- Announce to every audience on the importance to keep time
- Don’t feel bad if you have to hustle the team to keep time
- Always give a time-check to the team around 15 minutes and 5 minutes to the end of the session
- Always have the presenters ready their stuff well in advance of their presentation. Changeover needs time. The less it is the better.
At the end of every day, evaluate where you are from the timing perspective and adjust your next day’s agenda based on the time available and the priority of the work ahead.

The best is to change the pace and topic for a bit to involve everyone. One successful presenter, I knew used some interesting Sports, Films, and Books trivia which was presented as questions and audience loved to participate. Once the adrenaline was racing again and everyone invigorated, the presentation would start again.
Another effective way is to add humor and jokes. But jokes should be contextual and also shouldn’t fall flat. They should make people laugh!
Find some ice-breakers. They help to engage with the audience. And keep them interested and participating. Without active participation, there is really no workshop worth its name.

Build in some extra time in your schedule and also have someone who knows the topics and the final result closes at hand to keep re-evaluating the outcomes. Remember – Ability to Prioritize is the key to Being Flexible!

For uninterrupted work, make sure there are enough WORKING markers around so people don’t have to keep scurry around for one that works. Haven’t we seen that happen so many times? Jeff Welch of Langevin Learning Services discusses the Touch-Turn-Talk (TTT) format for the best way to work with the audience while using the flipcharts.
The first step of the TTT Format is “touch.” Touch the written item(s) on your flipchart to draw attention to that information. The next step is to “turn.” Always turn toward your learners, as you want to vocally project in the direction of your audience. The last step of the TTT Format is “talk.” Based on what you are explaining or clarifying, talk about the information in a concise and conversational manner.
